Create and update Planner entries
Planner entries are dated notes inside a Planner. Use them to write plans, daily updates, meeting notes, decisions, blockers, follow-ups, or planning context that should stay tied to a date.
Entry types

| Inserted entry | A new daily entry placed before or after another entry on the same day. |
Create a daily entry
- Open Planner.
- Select Day mode.
- Pick the date.
- Choose Add all-day entry when the day is empty, or use an insert button before or after an existing entry.
- Write the entry content.
- Wait for the saving indicator to finish before closing the dialog or switching context.
Expected outcome: The entry appears on the selected date and can be found again from the same Planner date range.
Create an entry from Week, Month, or Year
You can create day-level entries without starting in Day mode.
- Switch to Week, Month, or Year.
- Find the day that needs an entry.
- Use the day-level add action.
- Planner opens the day context when needed and focuses the new entry.
Create a period plan
A period plan is the note for the whole selected range. It is not tied to a single hour on a single day.
- Switch to Week, Month, or Year.
- Choose the planning range.
- Select the period plan area.
- Write the higher-level outcome, risk, milestone, or review note for that range.
- Open individual days when the plan needs day-specific entries.
Edit entry content
- Open the date or range that contains the entry.
- Select the entry.
- Type directly in the editor.
- Wait for the saving indicator to finish.
Tip: Keep entries structured with short paragraphs, bullets, and numbered steps when the note needs to be reviewed later.
Change entry time
Daily entries can be all-day or timed.
- Open the entry.
- Select the time label.
- Turn All day on or off.
- Choose the start and end time when the entry should be timed.
- Select Save.
Expected outcome: The entry stays on the correct date and the Planner canvas updates its time label.
Convert selected text into Tasks
Use this when a plan becomes executable work.
- Select the text inside a Planner entry.
- Choose the create-task action from the editor selection menu.
- Select the target List and owner.
- Review the task outline.
- Choose whether to replace the selected text with task mentions.
- Create the Tasks.
Expected outcome: Tasks are created in the selected List, and the Planner entry keeps the planning context.
Delete an entry
- Open the date or range that contains the entry.
- Open the entry more actions menu.
- Choose Delete.
Important: Delete only entries that should no longer appear in Planner. If the entry contains decisions or follow-ups, confirm the information is captured somewhere else first.
Keep entries useful
- Start with the outcome or decision before adding detail.
- Mention related work when the entry should connect back to a task, list, doc, goal, reminder, contact, company, chat, or other item.
- Use tags when the same topic appears across multiple dates.
- Keep operational task details inside Tasks so status, assignees, and due dates remain trackable.
- Use a separate entry for a meeting, decision, blocker, or follow-up when combining everything would make the day hard to scan.
Troubleshooting
An entry was added to the wrong date
- Cause: The selected date or current planning range was not the date you intended.
- Resolution:
- Open the intended date.
- Create the entry on the correct date.
- Delete the incorrect entry if it is no longer needed.
Insert controls are not visible
- Cause: Insert controls can be hidden when you do not have edit access, when the screen is compact, or when no entry context is available.
- Resolution:
- Confirm your role allows creating Planner entries.
- Use the main empty-state action when there are no entries.
- On mobile, open the day context where creation controls appear.
Entry content did not save
- Cause: The entry may still be saving, or the app may be offline.
- Resolution:
- Wait for the saving indicator to finish.
- Check your connection.
- Reopen the entry and confirm the latest content appears.
Entry content is hard to scan later
- Cause: The entry may be too long or missing structure.
- Resolution: Use short paragraphs, numbered steps, bullets, and links to the source work instead of copying every task detail into Planner.
FAQ
Should I create one entry per day or many?
Use one entry when the update is short. Use multiple entries when different meetings, decisions, blockers, or workstreams need separate context.
Should tasks be copied into Planner?
No. Link, mention, or create tasks from selected text when needed, but keep task ownership, status, due dates, dependencies, and comments inside Tasks.
Can a period plan replace daily entries?
No. Use the period plan for the range-level summary. Use daily entries for date-specific work, notes, and decisions.
