Plan daily and long-range work with Planner

Planner is a writing surface for dated planning. Use it to capture what should happen today, write daily updates, outline a week or month, and keep planning notes connected to the active Space.

Planner, Calendar, and List Calendar are different tools: Planner is for written plans and updates. Calendar is the app-level schedule for dated tasks and connected provider events. List Calendar is one saved List layout that shows tasks from that List.

Open Planner

  1. Open Planner from the app navigation, command center, or a Planner link.
  2. Confirm you are in the correct Space.
  3. Choose the date or planning range you want to review.
  4. Select Day, Week, Month, or Year.
  5. Add or edit entries in the Planner canvas.

Create the first Planner

If the Space does not yet have a Planner, the dialog shows an empty state.

  1. Choose Create.
  2. The app creates the Planner and opens it.
  3. Rename the Planner from the title when the generated name is not clear enough.
  4. Add the first entry for the selected date or planning range.

Expected outcome: The Space has a Planner that can hold daily entries and longer-range plans.

Write useful plans

Planner works best when entries are short enough to scan later and specific enough to explain what happened.

  • Start daily entries with the main focus, decision, or change.
  • Use time blocks when the plan needs a rough schedule.
  • Use a weekly, monthly, or yearly plan for range-level outcomes, risks, and review notes.
  • Link or mention related tasks, docs, goals, reminders, contacts, companies, or chats when the plan needs context.
  • Convert selected text into Tasks when a written plan becomes executable work.
  • Keep owners, status, due dates, dependencies, and comments inside Tasks.

Review longer-range plans

  1. Switch to Week, Month, or Year.
  2. Use the date controls to move between periods.
  3. Add a period plan when the range needs an overall note.
  4. Open individual days when a specific date needs more detail.
  5. Return to Day when you need to edit the actual daily entries.

Use Planner on small screens

On smaller screens, Planner keeps the same concepts but moves controls into compact patterns.

  • The mode switcher appears as a menu instead of a full toggle.
  • Date selection can open in a compact picker.
  • Entry editing can use full-screen dialog behavior when screen space is limited.
  • Use the visible add buttons in the selected day, week group, or month/year day cell.

Troubleshooting

Planner opens but no entries appear

  • Cause: The selected date range may not contain entries, or you may be in a different Planner or Space.
  • Resolution:
    1. Confirm the active Space.
    2. Check the Planner name in the header.
    3. Use Today or the date picker to move to a known date.
    4. Switch between Day, Week, Month, and Year when you are not sure where the entry was written.

You cannot create or edit entries

  • Cause: Your role may not allow creating or editing Planner entries in the current Space.
  • Resolution:
    1. Confirm you are in the correct Space.
    2. Ask a Space owner or admin to review your role.
    3. Check whether Planner is enabled for the Space.

Planner feels different from Calendar

  • Cause: Planner stores written planning entries. Calendar displays dated work and connected provider events.
  • Resolution: Use Planner for planning notes and Calendar for schedule visibility.

A plan turned into real work

  • Cause: Planner captures planning context, but it does not replace task execution fields.
  • Resolution:
    1. Select the action text inside the Planner entry.
    2. Create Tasks from the selected text when the work needs ownership, dates, status, or follow-up.
    3. Keep the Planner entry as the planning context.

FAQ

Should every team use Planner?

Use Planner when written day plans, weekly notes, or planning context help the team coordinate. If the team only needs task status, a List or Dashboard may be enough.

Can Planner replace task due dates?

No. Planner can mention planned work, but tasks should still hold owners, status, assignees, dates, dependencies, and comments.

Can I use Planner without creating a long plan?

Yes. A Planner entry can be a short note, a decision, a blocker, a follow-up, or a closeout update.
