Copy Tasks and work into another List

Use Copy to when you need a new copy of work in another List or folder while keeping the original. Copying is available only within the current Workspace. Use Move when the original should change location instead.

Before you start

  • You need access to the source item and permission to create the copied item in the destination folder.
  • The destination must be in the same Workspace as the source.
  • Copying creates a new item; later edits to the copy do not update the original.

What Copy to supports

SourceWhat is copiedWhat is not copied or is reset
TaskA new Task in the destination List, with its supported fields and content. The original Task remains separate; access and destination rules still apply.
ListA new List and the List’s saved views.Tasks in the source List are not copied by the List copy.
GoalA new Goal and its milestone hierarchy.Goal links are cleared so the copy can be connected independently.
Doc or WhiteboardA new item in the destination. The copy has its own identity and later changes do not sync back.
PlannerA new Planner record.Planner events are intentionally not copied.

Copy a Task

  1. Open the Task’s more actions menu, or select one or more Tasks in a List.
  2. Choose Copy to.
  3. Select a destination List and folder when prompted.
  4. Confirm the copy.
  5. Open the destination List to review the new Task.

For several Tasks, use Bulk actions > Copy to. The action copies the selected Tasks and leaves the originals in place.

Copy a List, Goal, Doc, Whiteboard, or Planner

Open the source item’s more actions menu and choose Copy to when the action is available. Select a destination folder in the current Workspace and confirm. For Lists, review the copied saved views. For Goals, review the copied milestones and reconnect any goal links that should apply to the new Goal.

Copy to versus Move or Duplicate

  • Copy to creates a separate item in a selected destination.
  • Move changes the original item’s destination.
  • Duplicate creates a copy in the current context when supported, without choosing a different destination.

Troubleshooting

The destination Workspace is not available

Copy to does not expose cross-Workspace destinations. Switch to the Workspace containing the source and choose a destination folder there. If the work must cross Workspaces, use the product’s supported export, sharing, or manual recreation flow instead.

Copy to is hidden or disabled

The source may be read-only, the destination may not be writable, the item may be archived/deleted, or the feature may be unavailable for the current role or plan. Confirm source access, destination edit/create access, and that the destination folder still exists.

The copied List has no Tasks

Copying a List copies its saved views, not the List’s Task collection. Copy the Tasks separately if the destination should contain them.

Planner entries are missing from the copy

Planner events are not copied. Create the required entries in the new Planner after confirming the dates and planning context.

The copy does not complete

Confirm that the app is online, choose a valid destination, and retry with fewer selected Tasks. If the source or destination changed while the dialog was open, close it and start the action again.

Duplicate versus Copy To

Duplicate is a same-context shortcut. Copy To lets you choose a destination folder or List in the current Workspace.

ItemDuplicateCopy To / result
TaskAvailable from the Task more actions menu. Creates a new Task in the current context and recursively copies its subtasks.Creates a new Task in a selected destination List; use this for a different List.
List viewAvailable from the view’s more actions menu. Copies the view’s saved configuration into the same List. When a List is copied, its saved views are copied with it.
ListThere is no separate List Duplicate action.Creates a new List and its saved views, but not the source List’s Tasks.
DocNo separate Duplicate action is exposed.Creates a new Doc with a new identity in the selected destination.
WhiteboardNo separate Duplicate action is exposed.Creates a new Whiteboard with a new identity in the selected destination.
GoalNo separate Duplicate action is exposed.Creates the Goal and its milestone hierarchy; goal links are cleared.
PlannerNo separate Duplicate action is exposed.Creates the Planner record; Planner events are not copied.

Copies receive a new identity and do not continue syncing with the source. Public links/tokens are cleared. Task history and live relationships such as comments, activity, watchers, and dependencies are not carried over as shared history. Review the destination after copying, especially when the source contains private fields or linked work.
