Navigate the app and find your work
The app is organized around the active Workspace. From that Workspace, you can open Collections, Lists, Tasks, Docs, Dashboards, Goals, Chat, CRM, Automations, Reminders, Timesheets, Settings, Search, and Help.
Terms you may see:
- Workspace: The active Workspace context for members, permissions, and work.
- Collections: The browsable structure for folders, lists, docs, dashboards, goals, and whiteboards.
- Feature navigation: The main app areas for daily work, collaboration, reporting, and settings.
- Account menu: User-level actions such as profile, preferences, Help, and sign out.
- Help entry points: The header help icon and account Help action open in-app help.
Before you start
- You must have access to at least one Workspace.
- Some navigation items may be hidden by permissions, Workspace settings, screen size, or plan availability.
How app navigation works
- Confirm the active Workspace in the app header.
- Use primary navigation to open the product area you need.
- Use Collections when you need to browse folders and work items.
- Use Search or Command Center when you know what you want but do not know where it is.
- Open Help when you need guidance for the current page or a process.
Expected outcome: You can move from Workspace-level context to the correct feature area without losing track of where work belongs.
Switch or confirm the active Workspace
- Look at the Workspace name in the app header.
- Open the Workspace switcher when you need a different Workspace.
- Choose the Workspace that owns the work you want to view.
- Confirm that Collections, Lists, Dashboards, and Settings update to the selected Workspace.
Open work from Collections
- Open Collections from navigation.
- Select a folder or item from the page.
- Use the breadcrumb at the top to understand your current location.
- Use the item more menu when you need actions such as rename, favorite, move, archive, or delete.
- See Organize work with Collections for the complete Collections model.
Move between app areas
- Use navigation to open the feature area you need.
- Use Lists and Tasks for execution.
- Use Docs and Whiteboards for context and planning.
- Use Dashboards, My Work, and Summary for review and reporting.
- Use Chat and CRM for collaboration and relationship context.
- Use Settings for Workspace, account, member, role, template, tag, integration, archived, and deleted-item management.
Use mobile Quick Task and Chat
- Select the floating Quick Task button to capture a task without leaving the current page.
- When you open Quick Task from a List URL, confirm that the current List is selected automatically.
- On other pages, Quick Task remembers the last List you explicitly selected in the current Workspace.
- Change the selected List in the dialog when the task belongs somewhere else.
- Select the floating Chat button to open conversations.
Expected outcome: Mobile keeps the two frequent actions close at hand without exposing the desktop Command Center.
Open Help from the app
- Select the help icon in the app header, or open the account menu and choose Help.
- Review suggested resources for the current page.
- Search for a process, action, or product area.

- Check the mobile more menu or bottom navigation if you are on a small screen.
- Ask a Workspace owner or admin to confirm access.
Work appears to be missing
- Symptom: You expect to see a list, task, doc, dashboard, or record but cannot find it.
- Cause: You may be in a different Workspace, looking inside the wrong Collection, or filtering results.
- Resolution:
- Confirm the active Workspace.
- Use Search or Command Center.
- Check the relevant list view, filters, sort, and grouping.
- Ask the owner to confirm the item was not archived, deleted, or moved.
FAQ
Should I use Search or Command Center?
Use Search when you want to find existing work. Use Command Center when you want to search, switch scope, or quickly create supported items from one place.
Why do actions move on mobile?
Small screens cannot show every toolbar action at once. The app keeps Quick Task and Chat as floating actions and moves secondary actions into drawers, bottom navigation, or more menus so the primary work area stays usable.
Understand the task links in the sidebar
The sidebar task links are built-in Task Views. They are shortcuts over your accessible active Lists, not separate copies of work.
| Sidebar link | What it shows | Default scope |
|---|---|---|
| All my Tasks | Open Tasks where you are the owner or an assignee. | All Lists you can access; grouped by List. |
| Today | Open Tasks you own or are assigned to that are overdue or due today. | All Lists you can access; grouped into overdue and today buckets. |
| Upcoming | Open Tasks you own or are assigned to that are scheduled for future work. | All Lists you can access; shown in a timeline focused on upcoming dates. |
Completed Tasks are hidden by default. A Task can appear in more than one sidebar view when it matches each view’s date and ownership rules. The links do not move, duplicate, or reassign Tasks.
If a Task is missing, confirm the active Workspace, ownership or assignee, due date, completion state, List access, and any view filters. A Task without a matching owner/assignee or date will not appear in Today or Upcoming.
