Use template and view galleries
Galleries are guided pickers for reusable setups. They help you start with a known structure instead of building everything manually. A gallery card is a preview of what will be created; it is not work that has already been added.
Which gallery should I use?
| Gallery | Where it appears | What it creates |
|---|---|---|
| Collection Gallery | Collections or a folder when you choose the gallery/template option. | A reusable package such as folders, Lists, Planner records, Dashboards, Docs, and saved List views, depending on the template. |
| List View Gallery | In Collections or a folder when you create a cross-List view. | One saved List view that combines Tasks from all or selected Lists. |
| View Gallery | Inside a List when you add a View. | One saved View in the current List, using the selected layout and view settings. |
| Dashboard template gallery | When creating a Dashboard from a template. | A Dashboard with the widgets defined by the selected template. |
Browse the Collection Gallery
- Open Collections or the folder where the setup should live.
- Open Collection Gallery.
- Search by name or choose a category.
- Select Review on a template card.
- Read what the package will create, where it will be placed, and whether sample Tasks are optional.
- Choose Create only after reviewing the package.
- Wait for setup to finish, then open the created folder or List.
A template may be unavailable while the gallery is preparing its catalog. If a previous installation was interrupted, use the recovery action shown in the gallery before starting another installation.
Browse the View Gallery
- Open a List.
- Choose + View.
- Open Gallery.
- Search or browse categories.
- Review the template description, intended use, supported layouts, and summary.
- Choose Use template and select the view type when the template supports more than one.
- Rename or adjust filters, grouping, sorting, columns, calendar settings, and privacy as needed.
- Save the new view.
Using a view template creates a saved view, not a new List and not a second copy of the List’s Tasks.
What to review before creating
- The destination folder or List.
- The objects the template will create.
- Whether sample Tasks or sample data are optional.
- The selected view type and its supported layouts.
- Whether the setup requires create, edit, settings, or Workspace permissions.
- Whether the resulting items should be shared or private.
Troubleshooting
A gallery is empty or still preparing
The catalog may still be loading, filters may exclude every template, or the current Workspace may not have any active templates. Clear the search and category filters, refresh, and try again.
A template is visible but cannot be used
The template may require create access, an unavailable feature, a plan entitlement, or a destination with write access. Confirm the active Workspace and permissions.
A template installation stopped partway through
Use the recovery or resume action if the gallery offers one. Do not start a second installation until the incomplete setup is resolved. If the setup created some items, review the destination before retrying.
The result does not look like the preview
A preview describes the template structure. Existing Workspace settings, permissions, plan limits, and optional sample data can change what is created or visible after installation. Review the created items and adjust them after setup.
